Privacy Policy
Effective October 23, 2026
This policy explains what information BacklineScout collects, how we use it, and the choices you have. It applies to backlinescout.com and the BacklineScout service.
What we collect
Account information: your email address and password. Passwords are handled by our authentication provider and stored only in hashed form.
Company information: company names, and for vendors, profile details such as service area, equipment categories, website, and description.
What you add to requests: show details, dates, venues, gear lists, riders and other files, quotes, and messages.
Technical information: logs our service providers record when you use the site, such as IP address (including when you sign in), browser, and pages requested, used to run and secure the service.
Sources: we collect this from you, from your use of BacklineScout, and from the people you work with on a request (for example, a vendor’s quote or a production’s request).
Usage analytics: we use Google Analytics to understand how people use the site, such as which pages are visited, how visitors arrived (for example from a search engine or a link), the device and browser, and approximate location derived from the IP address. We’ve turned off Google signals and ad personalization, and we don’t send Google your name, email address, or anything you add to requests. Pages reached from links in our emails are not measured.
Cookies: we use the cookies needed to keep you signed in, and Google Analytics cookies (such as _ga) that tell visits apart so we can count them. We don’t use advertising cookies. You can block analytics cookies in your browser settings or with Google’s opt-out add-on at tools.google.com/dlpage/gaoptout; the site works the same without them.
How we use it
To run BacklineScout: create and secure your account, deliver requests to the vendors you choose, show quotes and messages to the people involved, and verify vendor companies.
To send emails about your account and activity, such as confirming your address, resetting your password, and notifying you about requests, quotes, and messages.
To prevent abuse, keep the service secure, and meet legal obligations.
Your login credentials (email address and password) are sensitive personal information under California law. We use them only to provide and secure your account.
Who we share it with
The other side of your request: when you send a request, the vendors you choose see it and its attachments; when a vendor quotes, the buyer sees the quote and messages.
Service providers that run BacklineScout for us: Supabase (database, authentication, and file storage), Vercel (hosting), Resend (email delivery), ImprovMX (forwarding mail sent to our addresses), and Google (Google Analytics, to measure how the site is used). They process information only to provide their services to us.
When required by law, or to protect the rights and safety of our users or BacklineScout.
We don’t sell your personal information or share it for advertising.
How long we keep it
We keep your information while your account is active. When you ask us to delete your account, we delete or anonymize your personal information, except where we need to keep it for legal reasons. Copies in backups are removed as those backups expire.
Requests, quotes, messages, and files you have already shared with the other side of a request may remain available to them after you delete your account.
Your choices and rights
You can ask to access, correct, or delete your personal information by writing to legal@backlinescout.com.
If you live in California, you have the right to know what personal information we collect and how we use and share it, to ask us to delete or correct it, and not to be discriminated against for using these rights. We don’t sell or share personal information for cross-context behavioral advertising, so there is nothing to opt out of.
To protect your account, we verify each request by confirming it from the email address on the account. You may use an authorized agent to make a request for you; we’ll ask for proof of the agent’s authority and may confirm the request with you directly.
Do Not Track
BacklineScout doesn’t track you across other websites, and no third parties collect information about your activity across sites through BacklineScout. Because of that, we don’t respond differently to Do Not Track signals.
Security
We protect information with access controls in our database, private file storage, encrypted connections, and limited access by our team. No system is perfectly secure, so please use a strong, unique password.
Children
BacklineScout is for business use and is not directed at children under 16. We don’t knowingly collect their information.
Changes to this policy
If we make material changes, we’ll tell you by email or in the app before they take effect.
